Project Overview
SSS Security is a growing security services company that deploys guards across dozens of client sites in urban and semi-urban areas. As the company scaled, their operations hit a wall: attendance was tracked on paper registers, incident reports were filed manually hours after events, shift schedules were managed via phone calls and WhatsApp groups, and clients had no way to verify whether guards were actually on-site and performing their duties.
The company needed a complete digital transformation of their field operations - a system that would give management real-time visibility, automate scheduling, and provide clients with confidence that their premises were being properly secured. Nuvy Labs was brought in to design and build this system from the ground up.
The Challenge
Managing a large workforce of security guards distributed across multiple sites presents operational challenges that most standard tools simply cannot address. SSS Security was dealing with several compounding issues:
- Paper-based attendance tracking was unreliable and easy to manipulate. There was no way to verify whether a guard had actually arrived at the assigned site or was simply marked present by a colleague.
- No real-time incident reporting. When an incident occurred on-site - a trespass, equipment failure, or safety concern - the report would reach management hours later through phone calls or handwritten logs, often missing critical details.
- Manual shift scheduling across multiple sites was error-prone. Coordinators spent hours on calls rearranging shifts when guards called in sick, and there was no centralized view of who was assigned where.
- Zero client visibility. Clients who were paying for security services had no way to verify guard presence, view activity logs, or access incident reports without calling SSS management directly.
- Guard tour verification was done manually. There was no mechanism to confirm whether guards were completing their patrol routes at the scheduled intervals throughout their shifts.
Our Solution
We designed and built a three-part integrated system: a mobile app for field guards, an admin web dashboard for SSS management, and a client-facing portal for site owners. Each component was purpose-built for its user and connected through a shared backend.
Mobile App for Guards
The guard-facing mobile app was built to be simple and fast - designed for users who may not be tech-savvy and are often working in low-connectivity environments. Guards can check in and check out of shifts with GPS verification, ensuring location-accurate attendance. The app supports real-time incident reporting with photo attachments and pre-defined incident categories, making it easy to file a report in under a minute. Guard tour tracking uses checkpoint-based verification so management can confirm patrol completion.
Admin Web Dashboard
The management dashboard gives SSS Security's operations team a centralized view of all sites, guards, and activities. Shift scheduling can be managed from a single interface with drag-and-drop allocation, automatic conflict detection, and quick reassignment when coverage gaps arise. Site managers can view real-time guard positions, attendance histories, and incident timelines. The dashboard also provides exportable reports for payroll processing and client billing.
Client Portal
Each client gets a secure portal where they can view guard activity at their sites - attendance logs, patrol completion rates, and incident reports with timestamps and photos. This level of transparency significantly improved client trust and reduced the volume of status-check calls to SSS management.
